Events Coordinator (Freelance / Project)
Who we are
Mindful Retreats curates wellbeing experiences that honour traditional Sri Lankan practices and create measurable community impact. We work with international retreat hosts and local masters to craft soulful, well-run retreats and day-long wellbeing experiences.Contract type
Per-project freelance or short fixed-term contract around each retreat/experience.Where you’ll work
Hybrid: most planning can be done remotely; you’ll be onsite for each retreat (typically 2–7 days per event). Must be mobile and available to travel across Sri Lanka (and occasionally for international partnerships).Why this role matters
You are the calm in the storm — the person who makes the guest experience run smoothly so teachers, healers and guests can focus on the work that matters. You’ll represent our values of care, cultural sensitivity and community-first delivery.Core responsibilities
- Lead onsite logistics during retreats and wellbeing experiences (guest arrival/departure, rooming, meal coordination, vendor management).
- Act as the retreat “command center” — manage real-time scheduling, troubleshooting and guest liaison.
- Create and maintain operations checklists, day-of run sheets, supplier rate cards and payment tracking.
- Coordinate with vendors, venues, transport providers, healing practitioners and partners to confirm details and SLAs.
- Implement health & safety and emergency response procedures; ensure compliance with local requirements.
- Produce a concise post-event report with learnings, vendor feedback and guest satisfaction notes.Must-have
- Experience coordinating boutique retreats, events or similar hospitality projects in Sri Lanka (or comparable destination).
- Strong organisational skills, excellent communicator, calm under pressure.
- Reliable mobility and willingness to travel frequently.
- Basic digital skills (Google Workspace, WhatsApp, a booking/CRM tool).
- Values-alignment: respect for traditional practitioners, cultural sensitivity and community-minded delivery.Nice to have
- Local vendor network in Sri Lanka (transport, catering, therapists, venues).
- First aid / basic emergency training.
- Past experience with small-group international inbound travel.Pay structure

Creative Apprentice (Part-time/Apprenticeship)
Contract type
Part-time paid apprenticeship / internship (10–25 hrs/week) with clear learning outcomes and portfolio deliverables.Where you’ll work
Hybrid: remote editing & planning + onsite capture during events. Must be willing to travel to retreats across Sri Lanka.Why this role matters
You’ll translate lived experiences into compelling visual stories — photos, short-form videos and social assets that help guests remember and new audiences discover our work.Core responsibilities
- Capture photos and short videos at retreats and day experiences (shoot to brief and on-the-fly).
- Edit assets ready for social (short reels, IG stories, static images) and deliver content packs after each event.
- Assist the Head of Creative in repurposing assets and maintaining a searchable media library (naming, metadata).
- Support event documentation: create shot lists, record quick guest interviews, capture daily reels and behind-the-scenes moments.
- Schedule posts when requested and help measure basic engagement metrics.Must-have
- Basic camera and smartphone filmmaking skills; comfortable editing on mobile or desktop tools.
- Desire to learn, strong attention to detail, and easy collaborative energy.
- Willing to travel and work irregular hours during retreats.
- Portfolio or sample work (even student or personal projects).Nice to have
- Experience with Adobe Suite, CapCut, or similar editing tools.
- Social media experience with short-form content best practices.Pay structure
